Myhrtoolkit has updated the holiday system to better manage Part-Year Workers, whom we refer to as Full Entitlement Workers (FEW).
In some circumstances, including those potentially arising from the recent Harpur v Brazel case, an organisation may choose to grant workers who do not work a full year, a full year’s holiday entitlement. The new setting allows Controllers to do this. It is fully incorporated into the myhrtoolkit holiday system, e.g.: it will continue to pro rata entitlement for workers who start or leave part way through a year.
Controllers can now switch off the effect of the part-time percentage for a given Holiday Period and thus grants the User a full entitlement for that period; Previously, control of the Part Time percentage was more basic, with the only option being to switch the part-time percentage ‘on or off’ for all holiday periods in all holiday years. The new feature allows this to be controlled for each individual holiday period.
A User has a part-time percentage (p/t%) of 80% and a full-time entitlement of 25 days.
With the p/t% applied they receive a pro-rated Holiday Entitlement of 20 days
With the p/t% not applied, their Holiday Entitlement will be 25 days.
Previous system behaviour:
During the year a User’s holiday details may change, for example more or less days, a change of p/t% or a swap between hours to days.
Whenever this occurs, a new entry is created in their holiday entitlement record and their annual entitlement is recalculated. These distinct parts that make up the entitlement are called ‘Holiday Periods’.
Previously the p/t% was applied to the holiday entitlement via a tick box option at Management > Holidays > Holiday entitlement > apply part time percentage to an entitlement.
The selected setting was then applied to all Holiday Periods across all years of the User’s holiday from their start date.
The User shown below has two Holiday Periods, each with a different p/t %. When the apply part time percentage to an entitlement box is ticked the application of both p/t% is changed.

Important Note As with the previous p/t% system, reductions in holiday entitlement, including applying a p/t% can, in some circumstances lead to a negative holiday balance. |
We have changed the system so that the p/t% can be toggled on or off for each individual Holiday Period within a User’s holiday entitlement.
Any Holiday Periods added, either following the most recent one or in the past, will adopt the p/t% setting of the Holiday Period that immediately precedes it.
At launch, the settings under the previous system, on or off across the whole of a User’s holiday entitlement remain unchanged.
We have removed the previous ‘on/off’ tick box at Management > Holidays > Holiday entitlement > apply part time percentage to an entitlement.
Access permissions for Controllers and Managers remain unchanged.
The new “Amend entitlement” option is present in every Holiday Period, allowing each to be edited separately.
Navigate to Management > holidays > holiday entitlements.
Select the required Holiday Period.
In the Entitlement column Click “Amend entitlement” - see below.
Edit the individual Holiday Period including setting the p/t% on or off.
To set a User as a Full Entitlement worker, ensure that all Holiday Periods in the current Holiday Year at set to p/t% not applied.
In the below example, the p/t % has been applied.
The below shows a holiday record with 2 Holiday Periods. Using the new functionality one Holiday Period has the p/t % applied and the other does not. This was not possible under the previous system. As can be seen the old tick box to apply p/t % has been removed.
